Learn to transfer Outlook Calendar into Google Account. Import and export easily

There is no easy way to keep Google and Outlook calendars in sync. Several people run into the same problem with their calendars, which is why we have brought to you a number of solutions on how to do it. There are actual fixes that should work for you if you’re willing to spend a little money.

How to sync Google and Outlook Calendar?

The first question that you need to ask yourself is whether or not you need to sync Google and Outlook Calendar. You might think you do, but there are several alternative approaches that might solve your problem. For example, if you have an iPhone or Android phone, you should be able to add multiple Google account or any other accounts and therefore multiple calendars.

Usually, this approach means that Google and Outlook calendars appear together in the same app. This isn't syncing, but it does mean you can see two or more calendars in the same app and same view. If you're using a PC or laptop with the Outlook application in Windows, it could be time to ditch it and move to the online version, Outlook.com, which supports multiple calendars. 

There are several other advantages of using an online email/calendar service: you can log on from any computer with an internet connection, and you don't have any Google sync outlook issues as everything is stored online. Using two calendars services from two different companies can lead to problems and it's worth considering using only one, if at all possible. 

Using multiple email providers is useful, and we understand that. But why not just pick one and use just it, when it comes to your calendar. It solves the problem with the Google sync outlook instantly and simplifies scheduling appointments and events. Google and Microsoft calendar both support multiple work and private calendars. They also offer a single calendar or combined views. 

You can choose which calendar to add it to when adding the new event. It's all too easy to add an event to the wrong calendar, which is the only complication that exists. But at least you will have no problems with syncing. If this sounds like a good idea, you might want to export the data from one calendar to another rather than manually replicate existing events and appointments.

Export your Google calendar by following these simple steps –

You'll need to use the web version on a PC or Mac, to export events from Google Calendar. Click the drop-down menu next to the relevant calendar in the My Calendars section on the left and select Calendar Settings. Next you need to scroll down and press “Export this calendar" option. 

It gets downloaded in the format of a zip, so copy the .ics file out. Click the three dots from the main Google Calendar page to the right of one of your calendars. Then click "Settings and Sharing". Next, click "Import and Export", and then on the top of the left-hand menu, you'll find an option to export all your calendars as a zip file.

Import Google Calendar to Outlook –
  • Go to File>Open and export>Import and export, to import Google Calendar into the Outlook Windows application. Select the option to import an iCalendar (.ics) file.
  • Export Outlook Calendar -
  • To export your Outlook calendar (from the Outlook application), go to File>Open and export>Import and export. Select Export to a file and save it to a .csv file.
  • Click the down arrow next to Other calendars and select the Import calendar, to import it into Google Calendar app. Then click the three dots to the right of one of your calendars, followed by "Settings and Sharing". Then at the top left, the import option will appear. Alternatively, click the + button next to Add a colleague's calendar.
How to customize the Calendar’s look and feel?

Your calendar is now synced but to make things a little more user-friendly, you can change the display name from the "Unhelpful Calendar" to something else. Next, you need to hover over the calendar and click the three dots that appear next to it, and then press “Settings.”
At the top of the page, you will find the “Name” text box. There you can change the name of the calendar to something more interesting. Then click the back arrow in the top left to exit the Settings.

Import a Calendar with Outlook.com

If you use the Calendar section of Outlook.com, you can't export, but you can import. Click "Add calendar", next select "From file" available in the menu. Next, navigate to your Google Calendar .ics file to import it.

How to use invitations?

Simply invite yourself by entering your email address when creating a new event, to make an appointment appear in both Google and Outlook calendars simultaneously. You create a meeting with yourself, so in Google Calendar you would invite yourself by adding your Outlook or Outlook.com email address.

As an unconfirmed event, Outlook adds a calendar invitation from Google. You can leave it like this or click the "Accept button" in the email to confirm it. Outlook.com does not automatically add invitations to the calendar and you have to click "Accept" in the email. There is a better way to do it, although you can manually accept emailed invitations sent from Outlook/Outlook.com to Google Calendar in Gmail. In Google Calendar app, click the gear button and then select "Settings". Also, there is an option on the general tab to automatically add invitations to your calendar.
